Invoices

The Invoices page is the history of everything you've billed. Each invoice carries its client, amounts, GST breakdown, status, and how much has been paid.

Invoice statuses

  • Draft — created but not sent.
  • Sent — shared with the client, awaiting payment.
  • Partial — some payment received via receipts, but not the full amount.
  • Paid — fully settled.

Status moves to partial or paid on its own as you record Receipts against it. You can also set the status manually from the status dropdown on the invoice page when you need to override it.

What you can do

  1. Review an invoice

    Open any invoice to see its line items, GST split, totals, and payment history.
  2. Share with your client

    Download the invoice as a PDF, or use Share (on supported devices) to send it through your own apps. Email delivery from E-BillR is temporarily unavailable.
  3. Record a receipt

    Log a payment against the invoice as money comes in.
  4. Change the status

    Use the status dropdown to manually move an invoice between draft, sent, partial, and paid.

Impact on your books

Every invoice contributes to your income and GST-collected figures in Reports and the Overview. The amount still owed is your outstanding balance.

Editing an invoice

Open an invoice and click Edit. Every field except the invoice number (locked once created) can be changed: client details, dates, and line items. Saving recalculates totals and GST, and the invoice's paid status is re-derived from any receipts recorded against it.

Deleting an invoice

Open an invoice and click Delete. If any receipts are linked to the invoice, the confirmation dialog lists them and warns that deleting the invoice will also permanently delete those receipts. Confirming removes the receipts and the invoice together. Any billable expenses that were attached to the invoice are released back to the billable pool so you can add them to a future invoice.

Deletion cannot be undone

Deleting an invoice permanently removes it along with all its linked receipts. Billable expenses are released back to the pool, but the invoice and receipt records are gone for good.
